Terms & Conditions
Welcome to Sip & Serve (www.sipandserve.co.nz). These Terms & Conditions govern the booking and delivery of our mobile bar services. By placing a booking with us, you (the "Client") confirm that you have read, understood, and agreed to these terms.
1. Booking and Deposit

Deposit: A 50% deposit is required at the time of booking to secure your event date. The booking is only considered confirmed upon our receipt of this deposit.

Final Balance: The remaining balance must be paid in full at least 48 hours prior to the scheduled start time of the event.
2. Payment Terms

Payments can be made via bank transfer or through our secure online invoice payment link.

If full payment is not received by the 48-hour due date, Sip & Serve reserves the right to cancel the booking without a refund of the initial deposit.
3. Cancellation & Rescheduling
-
Cancellations (7+ Days): Cancellations made 7 or more days prior to the event will receive a full refund of the deposit.

Cancellations (Within 7 Days): Cancellations made within 7 days of the event will result in the forfeiture of the deposit.

Rescheduling: Requests to reschedule must be made at least 7 days in advance and are subject to calendar availability. Rescheduling requests made within 7 days of the event may be treated as cancellations at Sip & Serve’s sole discretion.
4. Minimum Hire, Flat Rate & Travel Fees

Minimum Hire: A minimum hire duration of 2 hours applies to all bookings, unless otherwise agreed upon in writing.

Setup/Packdown Fee: A flat rate of $30 applies to all events to cover setup and pack-down costs.

Travel Charges: Additional travel fees apply to events located more than 20km from the Sip & Serve base location. These charges will be calculated and communicated to you at the time of booking.
5. Event Changes

Any changes to the event date, time, location, or guest count must be communicated to Sip & Serve as early as possible.

Extensions: We can extend the hire duration on the day for an additional fee, subject to staff and stock availability.

Drink Selections: Any changes to drink selections or package options must be finalized at least 48 hours prior to the event. All changes are subject to availability and may incur additional charges.
6. Event & Venue Requirements

Setup Area: The Client must provide a suitable workspace and a flat, stable surface for the mobile bar setup (or arrange this with us in advance).

Weather Protection: For outdoor events, the Client must provide appropriate weather protection (e.g., shelter, shade) and a flat setup area.

Utilities: Access to running water and adequate lighting must be available at the venue unless otherwise agreed.

Access: The Client is responsible for ensuring safe, clear, and legal access to the venue for event setup and pack-down.
7. Alcohol Responsibility & Licensing

BYO Alcohol: In strict compliance with New Zealand liquor laws, all alcohol must be supplied by the Client. Sip & Serve does not supply, sell, or purchase alcohol on behalf of clients.

Supply Quantities: The Client is responsible for purchasing the agreed-upon quantities of alcohol as discussed during the booking process.

Licensing: It is the Client’s responsibility to obtain any required Special Licences for the venue if applicable.

Host Responsibility: Sip & Serve bartenders operate under strict Host Responsibility guidelines and reserve the right to refuse service to any guest who appears intoxicated or is underage, at their absolute discretion.

Legal Compliance: The Client is responsible for ensuring that all guests comply with local New Zealand alcohol laws.
8. Guest Count & Drink Supply Basis

An accurate guest count must be provided at the time of booking.

Large Events: Events with more than 30 guests will incur additional charges. If the actual guest count on the day exceeds the initial estimate, additional charges may apply for extra supplies.

Supply Disclaimer: While service is booked for a fixed duration, the drink supply is dictated by guest numbers and consumption estimates. We do not guarantee that drink service will last the full hire duration if supplies run out due to underestimated guest counts or higher-than-expected consumption.
9. Damage, Loss & Staff Safety

Property Damage: The Client assumes full financial responsibility for any damage to or loss of Sip & Serve equipment, property, or supplies caused by guests or other third parties at the event.

Staff Safety: Sip & Serve staff reserve the right to immediately cease service and leave the event if they are subjected to unsafe, abusive, or inappropriate behavior. No refunds will be issued in these circumstances.
10. Health & Safety

Sip & Serve reserves the right to cancel or postpone an event if there are immediate health or safety concerns that endanger our staff or your guests.

The Client agrees to notify Sip & Serve of any known potential health risks or hazards at the venue prior to setup.
11. Force Majeure

Sip & Serve will not be liable for delays or non-performance due to circumstances beyond our reasonable control. This includes, but is not limited to, natural disasters, severe weather, government restrictions, health outbreaks, or sudden venue closures.
12. Photo & Video Release

Unless explicitly opted out in writing, the Client grants Sip & Serve permission to use photographs or video footage taken at the event for promotional purposes. This includes use on our social media channels, website, and marketing materials.

We respect your privacy and will never share sensitive or inappropriate content; all media will be used respectfully.
